JOB AND APPOINTMENT SEARCHING
The main way to find individual job/appointment or to get a quick report of work in the system is to use the main Search Bar. The search bar is available at the top of all pages.
The search bar can apply multiple filters including search terms and advanced filters.
To add a search filter either:
- Start typing a word or number into the search bar
- Select the filter option from the drop down menu (the menu will only appear after 3 characters have been entered)
- Common filter options available are:
- APPOINTMENT ID
- JOB ID
- PHONE OR MOBILE NUMBER
- COMPANY NAME
- CUSTOMER SURNAME
- CUSTOMER EMAIL
- SUBURB
- STREET NAME
- Advanced filter options are
- DATAFILE EXPORT BATCH NUMBER
- RECYCLING RECEIPT NUMBER
- DATAFILE EXPORT BATCH NUMBER (withdrawn Only)
- PROPERTY ADDRESS POSTCODE
- EMPLOYEE INVOICE NUMBER
- AGENT INVOICE NUMBER
- CONTRACTOR INVOICE NUMBER
- CLIENT INVOICE NUMBER
- EXTERNAL PAYMENT TRANSACTION NUMBER
You can apply a search filter using a wildcard, for instance if you want to search for all customers with the last name starting with Gra you can type Gra* and select the CUSTOMER LAST NAME option and press enter
It is important to note, that by default date filters are applied to all searches even when not using the advanced filters
- Hover over the search bar (or click the down arrow on the right of the search bar) and select an option from the 'Advanced Search Filters'
- This panel can be forced to stay open by selecting the pin at the top right
- To perform the search press enter or press search from the advanced search filters panel
- It is important to note, that by default date filters are applied to all searches even when not using the advanced filters
- Right click on an appointment or job in the list to quickly navigate to any of the modules in that appointment or job.
- You can copy the selected Row or Range if you want to paste it into an email or document
- You can print the selected Row or Range if you want to paste it into an email or document
- Double click an appointment row to open it to Appointment Summary screen
You can CLEAR the filters you have applied easily so you can start a new search.
- Click the CLEAR button in the middle of the search filters section, this gives you a clean search showing every appointment in the program
Some of the filters will take you directly to one Job or Appointment, and some filters will refine the list of visible appointments on the screen
- DATE FILTER - Filter worklist by a date range this is used in conjunction with the date From and Date To filters to define your range
- Scheduled Date - The date that appointments were scheduled to be performed
- Completed Date - The date that the data was last edited or submitted via Runabout
- Actual Completed Date - A date that can be assigned to an appointment that is the actual date that the appointment was completed in the field, usually the date that is on all corresponding paperwork
- Invoice Eligibility Date - The date that the appointment became eligible to be Invoiced
- Submission Eligibility Date - The date that the appointment certificates became eligible to be submitted to the Scheme administrator
- FROM - The first day of the date range you want to view
- TO - The last day of the date range you want to view
- STATUS and SUB-STATUS - Filter work list by appointment status can be used in conjunction with sub-status to refine list further
- WORK TYPE - Filter worklist by a particular Work Type
- FIELD WORKER - Filter worklist by a Field Workers name
- CREATED BY - Filter work list by the User who created the Jobs
- CLIENT - Filter work assigned to a particular Client
- AGENT - Filter worklist by Agent
- MULTI-FILTER
DATA LIST DISPLAY OPTIONS
You have the ability to add additional columns of information to the data list, available options are:
- WORK ACTIVITIES - Displays a column for each activity type and displays which activities have been performed for each appointment
- APPOINTMENT TAGS - Displays all the columns for each appointment
- LAST COMMENT - Displays the last comment put in an appointment
- JOB INSTRUCTION - Displays the Job instructions put on an appointment (also visible in Runabout)
Choose whether you want the data list to display Jobs or Appointments, default is Appointments
Bulk updating is a method of applying one of the following preset operations to a number of appointments at once:
- Hover over the search bar (or click the down arrow on the right of the search bar) to reveal the 'Advanced Search Filters
- Select an operation from the 'For bulk update' list, this will filter out any appointments that cannot undergo the selected operation
- Select the search button
- Select appointments by holding CTRL (For non consecutive appointments in the list) or SHIFT (For consecutive appointments in the list) and clicking
- Select the 'Perform Bulk Update' button at the bottom of the screen
- Fill out the required fields and click confirm
