Appointments that haven’t yet been assigned to a field worker are kept in the Waiting List, from here you have the ability to change the Job Agent for a range of Jobs.
If you know the Appointment you want to schedule from the Waiting List you can search and open the appointment from the main search screen or you can navigate to the Waiting List screen and find your appointment from the list
The Waiting List screen is filterable using the fields at the top, so you find the job(s) that you want to schedule.
There are 2 modes, Manual and Smart Scheduler.
Manual Scheduler allows you to define all of the parameters for scheduling and with the admin mode you can schedule an appointment at the same time as another appointment for the same field worker if you want to.
Smart Scheduler scans all the appointments currently in the system for the defined date range and finds available timeslots for the field workers of the Agent that the appointment is allocated to.
- Click on Waiting List in the top menu bar
- Adjust the Waiting List filter fields to determine the appointment(s) you want to see,
- Click Search
- Click on an appointment to select it
- Hold down the Shift button and select another appointment below or above the appointment that you have already selected to select a range of appointments
- Hold down the Control button to select multiple individual appointments
- If required you can change the Job Agent for your selection
- From the bottom left dropdown select the Agent that you want to assign the Jobs to, then click Change Job Agent
- Right click on an appointment in the list to open the alt menu
- You can open the appointment in another ASAP window
- You can copy the selected Row or Range if you want to paste it into an email or document
- You can print the selected Row or Range if you want to paste it into an email or document
- From the bottom right corner click on Schedule Appointment or double click an appointment row to open it to Appointment Summary screen
- From the appointment select Actions > Schedule Appointment / Change Appointment Type
- Schedule the appointment using either the Manual or Smart Scheduler
- Choose Manual Scheduler if you want to choose a specific date, time and field worker for the appointment.
- Choose a Reschedule Reason if applicable
- Select both Date and Duration then your timeslot
- You can now keep or change the appointment worktype
- Choose the Field Worker you want to assign the appointment to, You can override the list if the field worker already has an appointment for that timeslot
- Add a Comment and Job instructions (Job instructions are visible to the field worker on their Runabout device) then click Confirm Schedule
- Choose Smart Scheduler if you want to find available timeslots for the Agent’s Field Workers.
- Filter the timeslots using the filters at the top
- Select the desired timeslot
- You can see the Route from the previous Appointment to the next appointment to make sure the field worker has adequate time to get to the new appointment
- Click Show Route
- When you are happy with the timeslot click Select Timeslot
- WORK TYPE - Filter waiting list by Work Type
- REGION - Filter waiting list by Region
- TAG - Filter waiting list by Waiting List Tags
- AGENT - Filter waiting list by assigned Job Agent
- AGE - Filter waiting list by how many weeks the appointments have been on the waiting list
- AREA CLASSIFICATION - Filter waiting list by Metro and Rural appointments
Additional Display Options
- SHOW COMMENTS - when displaying the data include any comments on the Job
- SHOW JOB INSTRUCTIONS - when displaying the data include job instructions
- SHOW TAGS - when displaying the data include any tags that have been placed on the appointment
- SELECT ALL ROWS - Select all appointments that have been filtered into view, this includes all pages of data
- SHOW EXTERNAL JOB ID - Not used by Ecovantage
Agents who have access to ASAP can see only theirs and any sub-contractors jobs in the Waiting List screen.
If you want to add or remove a job from their waiting list use the Change Job Agent function
- Click on Waiting List in the top menu bar

- Click Search
- Click on an appointment to select it
- Hold down the Shift button and select another appointment below or above the appointment that you have already selected to select a range of appointments
- Hold down the Control button to select multiple individual appointments
- From the bottom left dropdown select the Agent that you want to assign the Jobs to, then click Change Job Agent
